Position Summary:

The Human Resources Specialist supports the HR department by delivering a wide range of administrative and HR services to employees and managers. This position plays a key role in ensuring compliance with employment laws and organizational policies while promoting a positive and inclusive workplace culture. The HR Specialist is responsible for managing core HR functions including recruitment and onboarding, benefits administration, leave management, HRIS data maintenance, and training support.

This role will work hybrid between working in KQED's newly renovated headquarters and working remotely.


Essential Functions:
  • Provides office administration for staff as needed including serving as a knowledgeable resource for KQED employees contacting the HR department.
  • Provides support to the HR team as needed particularly with assisting with processes that lead to a seamless HR operation.
  • Recruiting and on-boarding support. Assists KQED’s recruitment process:
    • Schedules/Coordinates interviews with candidates and interviewers
    • Posts all open position(s) to designated sites
    • Maintains accurate files of job postings and completes mandatory FCC reporting as required
    • Coordinates and schedules onboarding for new employees
    • Conducts and schedules new hire orientations for new employees 
    • Initiates and monitors reference and background checks
    • Creates and sends offer letters as requested
    • Conducts phone screen interviews as requested
    • Coordinates Intern recruitment and onboarding process
    • Notifies NABET, SAG-AFTRA, IT, Facilities and others as needed of newly hired employees as well as changes as stated in the CBA for NABET and SAG-AFTRA or as directed by the Employee Relations Counsel
      Registers KQED for career fairs and attends career fairs as needed.
  • Benefits and Leaves of Absence Support
    • Meet with employees to understand the need for leave of absence and explain process and options available including pay
    • Coordinate pay for payroll processing.
    • Stay up to date and knowledgeable about Leaves and work closely with Insperity on process improvements
    • Works with Associate Director of Human Resources on Annual wellness fair and different wellness and safety activities and initiatives
  • HR Department Support
    • Reviews invoices and bills timely for accuracy and resolves any discrepancies prior to processing for payment. Works within the financial system to ensure that timely payment requests and bills are accurately processed as well as purchase orders and expense vouchers. Maintains accurate records of invoices and bills.
    • Enters new employees as well as other data changes into the HRIS System as requested by departments or HR Generalists
    • Responsible for maintaining HR information on the KQED InfoSite Page
    • Coordinates offboarding
  • Performs other essential functions as assigned.
Candidate qualifications:
  • 1 year of professional administrative support experience
  • Excellent administrative support skills and strong attention to detail
  • Ability to diplomatically respond to a variety of issues and concerns grounded in experience with conflict resolution techniques and active listening skills
  • Excellent written and oral communication skills and strong organizational, project management and interpersonal skills required
  • Strong Microsoft Office skills
  • Ability to work under pressure and meet deadlines following complex projects and duties through to completion
  • Ability to maintain confidentiality and weigh alternative approaches to resolve issues
Physical Demands:
  • Ability to lift a minimum of fifteen (15) pounds;
  • Ability to exert maximum muscle force to lift, push, pull or carry;
  • Ability to use abdominal and lower back muscles over time without fatigue;
  • Ability to stand and/or sit for extended periods;
  • Ability to bend, stoop, stretch, twist, sit, and reach;
  • Fine motor skills;
  • Good visual and auditory acuity.
