We are looking for a temporary, full time Events Specialist to join the KQED Education Marketing Team from Sep 1,  2022 - Mar 15, 2023.

The Education Events Specialist coordinates  all aspects of KQED’s educational conference and event participation (online and in person), tracks costs, and reports on outcomes. This person reports to the Marketing Director, Education and is a core member of the Education Marketing Team. They collaborate with the Education, Events, Facilities and Design Departments at KQED, as well as with external event partners. They are fluent with virtual event and conference booth planning and logistics, from electrical drops to shipping, and meticulous about developing checklists and logging expenses. They are a savvy event marketer, comfortable writing promotional copy for signage, email, social, and web. This position is based in San Francisco at KQED’s headquarters in the Mission District, with the option to work remotely several days/week.

Responsibilities and Duties

Plan and produce live events, virtual workshops, field trips, and industry conferences for educators and youth, occurring in person and online (approx. 20-25 between Sep 1,  2022 - Mar 15, 2023)

  • Virtual Workshops. Plan and produce our online teacher training sessions, e.g. set-up registration pages on Zoom and provide support during event.
  • Conference Events. Plan and produce our presence at education industry conferences, e.g. track conference due dates for speaker proposals and registration; make travel arrangements (registration, hotels, flights); prepare, package, and ship supplies; design booth presence; capture leads; prepare promotional materials with conference org.
  • In-person Events. Plan and produce our Education events at KQED headquarters (such as Youth Media celebration night and Youth Takeover student field trips), e.g. book space; coordinate with Facilities, Security, KQED Live teams; book caterer/purchase food; prepare and pull supplies; submit guest list.
  • Marketing and Communications. For all events, e.g. update all event calendars; develop event art and promo campaigns with Education Marketing; post promos to social, email and web; add UTM codes to presentation materials; send reminder and follow-up emails to participants.
  • Reporting. For all events, e.g. collect and report stats for event type, audience, registration, attendance, number of leads, event cost, cost per lead; track total expenses; host event retrospectives.

Knowledge and Experience Required

  • Proactive, independent thinker and creative problem solver who works well in a team environment. 
  • Demonstrated experience with conference and/or event management, including logistics, vendors, shipping, POs, and event production best practices.
  • Exceptional project management skills and attention to detail.  
  • Experience driving traffic and effectively engaging users at conferences or trade shows.
  • Strong communication skills, both written and in person, and the ability to interact professionally with a diverse group of stakeholders across the KQED organization. A good eye for design and layout.
  • Proficiency with Zoom, setting up recurring meetings, pulling reports, etc.
  • Proficiency with spreadsheets, word processing, and slide deck development using Google Suite.
  • Proficiency with collaboration and project management tools essential (e.g. Slack, Asana).
  • Committed to strengthening public media and comfortable abiding by KQED’s Code of Ethics.
