Finance and Operations Associate

In conjunction with the Director of Finance & Operations, News the purpose of this position is to provide full service financial and operational support to all managers and staff of a portfolio of departments and projects.   The Associate is responsible for providing a variety of hands-on services that support the Director and customers in a timely and professional manner. 

Essential Functions: 

  • Support the procurement process by creating requisitions and distributing purchase orders as needed.  Placing supply orders and receiving goods and services within the accounting system once delivered.  Ensure sales/use tax is properly stated on invoices; ensure invoices are mathematically correct and approved by the responsible managers; and ensure documentation for received good and services are forwarded to accounts payable for accrual in the accounting system (e.g., packing slip, bill of lading, receiving log)
  • Collect and review employee expense reports and audit to ensure compliance with all policies; submit to appropriate managers for approval
  • Perform multi-department credit card reconciliations on a monthly basis, ensuring proper PO’s are created, coding is correct, and required backup is included.  
  • Prepare billing requests for multiple departments, ensuring that Accounts Receivable has the necessary backup to process the request.
  • Coordinate hotel and event registration for staff as needed
  • Review timesheets bi-weekly
  • Provide operational support as assigned, can include requesting contracts, scheduling staff, providing access to various on line accounts, data input 
  • Provide Director and other staff with research services as needed (e.g., payable status, SAP details)
  • Provide administrative support to Director in whatever capacity necessary, including coordinating meetings
  • Maintain all records in a secure, neat and easily accessible manner
  • Perform other essential duties as assigned

Position Qualifications: 

  • Education:  Bachelor’s Degree

Knowledge/Experience Required:

  • Understanding of basic accounting
  • Highly organized and detail-oriented
  • Excellent communication and interpersonal skills
  • Skilled in cross departmental collaboration
  • Able to work under pressure and meet deadlines

Knowledge/Experience Desired:

  • Non-profit
  • Grant administration
  • Excel at working with existing systems and resources, motivated to find improvements
